Bulk Uploading Agents to Agencies
After uploading your agencies, the next step is to associate individual agents with their respective agencies. This bulk upload process allows you to add multiple agents efficiently while maintaining proper agency associations.
Read the step-by-step guide below or check out the video walkthrough.
Prerequisites
Before uploading agents, ensure:
- Agencies have already been uploaded to the system
- You have the agency NPN numbers for matching agents to agencies
- Agent license or NPN numbers are available and accurate
Required Information
To bulk upload agents, you need minimal but critical data:
Required Fields
- Agent Identifier (one of these):
- NPN number (preferred)
- State license number
- Agency Association:
- Agency NPN number (to match agent to correct agency)
Optional Fields
- Agent email address
Note: Agent names are automatically retrieved based on NPN/license numbers, so you don't need to include them in your upload file.
Step-by-Step Bulk Upload Process
Step 1: Access Agent Import
- Navigate to the agent management section
- Click on Import Agents
- You'll see the required fields and have the option to:
- Use a CSV template
- Upload your own CSV
- Manually enter individual agents
Step 2: Prepare Your CSV File
Using the Turris template (recommended):
- Download the agent CSV template
- Enter agent data with:
- One agent per row
- Agent NPN or license number
- Associated agency NPN
- Optional email addresses
- Save as CSV format
Step 3: Upload Your CSV
- Click Upload CSV
- Select your prepared file
- The system will verify your column headers
- Map any non-matching headers if needed
Step 4: Data Extraction and Verification
The system automatically:
- Extracts data from your CSV
- Verifies NPN/license numbers
- Retrieves agent names from official sources
- Matches agents to agencies using the provided agency NPNs
- Validates all data integrity
Review the extracted information:
- Confirm agent names were found
- Verify agency associations are correct
- Check that email addresses (if provided) are properly formatted
Step 5: Submit the Upload
- Review all populated data
- Ensure agency matches look correct
- Click Submit to complete the upload
- Agents begin populating in the system
Understanding Upload Results
Agent Status Indicators
After upload, you'll see status numbers like "0/15":
- Denominator (15): Total agents stored in the system
- Numerator (0): Agents who are synchronized and authorized to sell
- Initially shows "0" because agents are uploaded but not yet synchronized
Post-Upload Options
View Agent List:
- See all uploaded agents
- Review their information
- Check agency associations
Synchronization Options:
- Synchronize all agents at once
- Review and sync individually
- Set up automation rules
Managing Costs and Automation
Cost Control Features
Agents don't count toward your NPN cap until synchronized:
- Upload agents for review without immediate cost impact
- Synchronize selectively based on your needs
- Use as a staging area for agent data
Automation Caps
Set limits on automatic agent authorization:
- Example: Auto-approve up to 10 agents per agency
- Prevents unexpected costs from large uploads
- Requires manual review for uploads exceeding the cap
- Particularly useful when agencies self-upload agents
Why Include Email Addresses?
While optional, agent emails are useful for:
- Integration with policy administration systems
- Creating individual agent accounts
- Direct communication needs
- System integration requirements
- Future portal access
Alternative Upload Methods
