Bulk Uploading E&O and Cyber Documents

After uploading agencies and agents, you can bulk upload E&O and Cyber liability documents to ensure all your distribution partners have proper coverage documentation on file.

When to Use Bulk Document Upload

While Turris handles initial document uploads during onboarding, you may need this feature when:

  • Adding a group of new agencies after initial setup
  • Acquiring a new company or book of business
  • Updating expired policies in bulk
  • Migrating documents from another system

Document Types Supported

Currently, Turris supports bulk upload for:

  • E&O Policies (Errors & Omissions)
  • Cyber Liability Policies

Note: If you need to collect other document types (Crime & Fidelity, etc.), contact support to discuss adding these capabilities.

Prerequisites

Before uploading documents:

  • Agencies must already exist in the system
  • Documents should be in supported formats (PDF preferred)
  • Document names should clearly identify the insured party

Step-by-Step Upload Process

Step 1: Access Document Import

  1. Navigate to the E&O and Cyber section
  2. Click Import E&O Policies or Import Cyber Policies
  3. Note: E&O and Cyber documents must be uploaded separately

Step 2: Upload Documents

  1. Click the upload button
  2. Select multiple documents at once
  3. Upload your policy documents
  4. The system begins extracting data automatically

Step 3: Data Extraction

The system automatically:

  • Extracts policy information from documents
  • Identifies insured names
  • Pulls coverage limits
  • Extracts policy dates
  • Verifies against your configured business rules

Step 4: Review Extracted Information

After extraction completes:

  1. Navigate to the Policies tab
  2. Review the populated information:
    • Insured names
    • Coverage amounts
    • Policy effective dates
    • Expiration dates
  3. Verify data accuracy

Assigning Documents to Agencies

Manual Assignment Process

  1. For each uploaded document, you'll see:

    • The extracted insured name
    • Suggested agency matches with confidence scores
    • Match percentage (e.g., "100% match")
  2. Review suggested matches:

    • High confidence matches (90-100%) are usually accurate
    • Lower confidence matches may need manual verification
  3. Click to confirm each assignment:

    • Select the correct agency for each document
    • The system learns from your selections for future matching

Managing Uploaded Documents

Document Actions

For each uploaded document, you can:

  • View: Open and review the document
  • Edit: Make changes to extracted information
  • Delete: Remove incorrectly uploaded documents

Access these options via the three-button menu on each document.

Filtering and Organization

Use filters to view:

  • Assigned Documents: Successfully matched to agencies
  • Unassigned Documents: Requiring manual assignment
  • Expired Policies: Needing renewal
  • Expiring Soon: Approaching expiration date
  • Active Policies: Current and compliant

Monitoring Compliance

After uploading, the system:

  • Checks coverage against your minimum requirements
  • Flags policies below required limits
  • Identifies expiring or expired coverage
  • Enables automated renewal reminders

Troubleshooting

Common issues and solutions:

Data Extraction Failures:

  • Check document quality and legibility
  • Verify documents are complete

Matching Issues:

  • Confirm agency names in documents match system records
  • Check for variations in business names
  • Ensure agencies are uploaded before their documents

Assignment Errors:

  • Review and correct any mismatched assignments
  • Update agency information if names have changed
  • Use manual assignment for ambiguous matches

Integration with Business Rules

Uploaded documents are automatically checked against your configured:

  • Minimum aggregate coverage limits
  • Minimum per-claim coverage limits
  • Policy expiration grace periods
  • Other compliance requirements
